About the Role:
We are seeking a dedicated and empathetic Client Intake Specialist to serve as the first point of contact for potential clients. This role is pivotal in shaping the client's initial experience with our firm, ensuring a seamless and professional introduction to our legal services.
Key Responsibilities:
- Initial Client Engagement: Respond promptly to incoming inquiries via phone, email, or online platforms, providing a welcoming and informative introduction to the firm.
- Information Gathering: Conduct preliminary interviews to collect essential details about the client's legal needs, ensuring accurate and comprehensive data collection.
- Case Evaluation: Assess the information gathered to determine the suitability of the case for the firm's services, referring clients to appropriate departments or external resources as necessary.
- Appointment Scheduling: Coordinate and schedule consultations between clients and attorneys, optimizing calendars to accommodate both parties efficiently.
- Documentation Management: Ensure all client information is accurately entered and maintained in the firm's case management system, adhering to confidentiality protocols.
- Follow-Up Communication: Maintain ongoing communication with potential clients, providing updates, answering questions, and facilitating the completion of necessary documentation.
- Process Improvement: Collaborate with the team to identify and implement enhancements to the client intake process, aiming to improve efficiency and client satisfaction.
Qualifications:
- Education: High school diploma or equivalent required; associate or bachelor's degree preferred.
- Experience: Minimum of 2-4 years in a customer service or administrative role; experience in a legal setting is advantageous.
- Skills:
- Excellent verbal and written communication abilities.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite and familiarity with CRM or legal case management software.
- Ability to handle sensitive information with discretion and professionalism.

Working Conditions:
